About the role
The Associate – Facilitiesis responsible formanaging employee transportation and ground transport operations, ensuring safe, compliant, and cost-effective services while deliveringa high levelof employee experience.
Employee Transport Operations
Prepare andmaintainemployee route lists and pickup/drop schedules.
Manage the transport helpdesk to respond to employee queries and escalationsin a timely manner.
Coordinate with interns and support staff for daily operations.
Ensure on-time arrival and departure of employee transport cabs.
Oversee transport operations during assigned shifts and act as the point of escalation.
Operational Responsibilities During Shift
Monitor vehicle, driver, and vendor supervisor attendance.
Allocate pickup lists to vendor supervisors.
Conduct routine vehicle inspections as per approved checklists.
Track vehicles in real time andmonitorroute adherence.
Ensure immediate response to priority transport issues.
Coordinate with Facilities Manager on escalated issues.
Oversee transport-related security functions during the shift.
Maintainaccuraterecords of vehicle movements and transport activities.
Provide arrival and departure reports to operations teams via email or SMS.
Ground Transportation Management
Manage end-to-end ground transportation operations for employees and official visitors.
Coordinate and manage transportation for site-sponsored events and team outings.
Arrange and manage ground transport requirements for global employees visiting the site.
Handle transport-related incidents and accidents in coordination with vendors and internal stakeholders.
Ensuretimelyvendor payments by following up on invoices and approvals.
Review vendor SLAs regularly and document Minutes of Meetings (MoM).
Compliance, Reporting & BCP
Ensure all vehicles and drivers meet statutory and company compliance requirements.
Prepare daily and weekly reports on transport requests, incidents, and vehicle movement.
Support Business Continuity Planning (BCP) activities from a transportation perspective in coordination with stakeholders.
Key Skills & Competencies
Strong knowledge of employee transport operations and safety requirements.
Ability to deliver cost-effective and efficient transport solutions.
Excellent communication and stakeholder management skills.
Capability to train helpdesk executives, vendor supervisors, and drivers.
Experience in process improvement, policy development, and guideline formulation.
High attention to detail and ability to manage multiple priorities.
The Ideal Candidate
Demonstrated hands-on experience in facilities or transport operations.
Strong individualcontributorwith the ability to work independently.
Comfortable working in a fast-paced, shift-based environment.
